How to track a shipment?

View shipment status updates and communicate with logistics service providers.

Once a shipment is booked, the awarded provider receives an email notification to let them know about the new shipment confirmed. The email contains a link redirecting to the Cargobase platform for the provider to view the details and start updating the shipment tracking details.

Search the shipments list

While the Cargobase dashboard allows to focus on what matters to your organisation, the default shipments list view provides a comprehensive overview of all shipments.

To access the shipments list:

  • Navigate to the sidebar on the left.
  • Click Shipments.
  • Click the tabs for quick filtering by shipment status.

The shipment list packs some useful features to find shipments and create lists according to specific requirements:

  • The lookup field filters the list with free text input.
  • The columns filters allow to select values for each column.
  • The columns selector adds or remove columns from the page.

The filters configuration can be locked to save time when returning to the page.

Explore the shipment tracking page

To access the tracking page of a shipment:

  • Search for the shipment reference (e.g. S123456789) via the Universal Search or using the shipments list.
  • Ensure the Tracking tab is selected to show the tracking page.

What can the shipper review on the tracking page?

  • The status bar:
    • Booked: the shipment is booked with a pickup date/time scheduled in the future.
    • In transit: the pickup date/time is scheduled in the past.
    • Delayed: the delivery date/time is scheduled in the past without a POD submitted after 5 days.
    • Incomplete: the delivery date/time is scheduled in the past without a POD submitted after 30 days.
    • Delivered: the delivery date/time is scheduled in the past and the POD is submitted.
    • Canceled: the shipment is canceled by the shipper.
  • Navigating the tabs:
    • Tracking: automated tracking updates received from logistics service providers and carriers.
    • Schedule: a vertical timeline view of the key shipping milestones alongside a map view.
    • Navigate the tab:
    • Cost details: a record of costs added or discounted by the provider.
    • Files: view and download the files shared during the quoting and shipping process. 
    • Customer information: pickup and delivery contact details.

What actions can the shipper take on the tracking page?

  • Click Add tracking number to link the shipment with the provider or carrier tracking page:
    • The Provider tracking number is the House Way Bill number:
      • Air shipments are tracked with the House Airway Bill or HAWB number.
      • Ocean shipments are tracked with the House Bill of Lading or HBL number.

Updating the provider's tracking references in Cargobase links the shipment with the provider's tracking website to show the tracking status on the Cargobase tracking page, and closes the shipment once the POD is submitted.

    • The Carrier tracking number is the Master Way Bill number:
      • Air shipments are tracked with the Master Airway Bill or MAWB number.
      • Ocean shipments are tracked with the Master Bill of Lading or MBL number.
      • Ocean shipments are also tracked with the Container Number.

Updating the carrier's tracking references in Cargobase links the shipment with the carrier's tracking website to show the tracking status on the Cargobase tracking page.

  • Post comments and upload files:
    • Write a message in the comments field and click Send.
    • Drop or browse files in the comments field and click Send.

Comments and files are visible to all parties authorised to view this shipment.

  • Quick actions (Top right of the screen):
    • Edit shipment: change the details of a shipment (Limited access).
    • Cancel shipment: inform the provider about the shipment being canceled.
    • Save as template: save the shipment details into a template for future request creation.
    • Duplicate shipment: copy the shipment details and create a new request on the spot.
    • Invite guests: add users to the tracking page. Non-Cargobase users can be invited.
    • Submit POD: submit a Proof-Of-Delivery upon to mark the shipment as delivered.
