How to track a shipment?

View shipment status updates and communicate with logistics service providers.

Once a shipment is booked, the awarded provider is notified via email about the confirmation of the new shipment. The email contains a link redirecting to the Cargobase platform for the provider to view the details and start updating the shipment tracking details.

To access the tracking page of a shipment

  • Search for the shipment reference (e.g. S123456789) via the Universal Search or using the shipments list.
  • Ensure the Tracking tab is selected to show the tracking page.

Tracking Details

  • Provider or Shipper can click Add tracking number to add tracking number.
  • With tracking integration: If logistics service providers and carriers' tracking updates are integrated with Cargobase,  automated tracking updates will be displayed here when tracking number is inserted.
  • Without tracking integration: Shipper can copy the tracking number and paste into provider or carrier tracking page to track the updates.
  • Types of tracking number:
    • The Provider tracking number is the House Way Bill number:
      • Air shipments are tracked with the House Airway Bill or HAWB number.
      • Ocean shipments are tracked with the House Bill of Lading or HBL number.
    • The Carrier tracking number is the Master Way Bill number:
      • Air shipments are tracked with the Master Airway Bill or MAWB number.
      • Ocean shipments are tracked with the Master Bill of Lading or MBL number.
      • Ocean shipments are also tracked with the Container Number.

The date and time here are according to the local time of the location.

Activity

  • Post and view comments: Write a message in the comments field and click Comment.
  • Upload and view files: Drop/paste files or click to attach files in the comments field and click Comment.

Comments and files are visible to all parties authorised to view this shipment.

  • View all: view comments, files, and shipment updates shared during shipping process. 
  • Comments: view comments shared by different parties during shipping process. 
  • Files: view the files shared during shipping process. 
  • Latest comment will be posted at the top.
  • Shipment booked date and time will be displayed at the bottom.
  • The date and time here are according to the selected timezone of the user at Settings.

Overview

  • Status of the shipment:
    • Booked: the shipment is booked with a pickup date/time scheduled in the future.
    • In transit: the pickup date/time is scheduled in the past.
    • Delayed: the delivery date/time is scheduled in the past without a POD submitted after 5 days.
    • Incomplete: the delivery date/time is scheduled in the past without a POD submitted after 30 days.
    • Delivered: the delivery date/time is scheduled in the past and the POD is submitted.
    • Canceled: the shipment is canceled by the shipper.
  • Freight mode of the shipment: [Types of freight transportation] • [Types of freight service]
  • Pick up:  
    • If the Pick up date and time are updated after booked, the colour of the font will change
      • Black: no changes has been applied to booked pick up date and time 
      • Green: new pick up date and time are earlier than booked pick up date and time
      • Orange: new pick up date and time are later than booked pick up date and time
  • Delivery: 
    • If the Delivery date and time are updated after booked, the colour of the font will change
      • Black: no changes has been applied to booked delivery date and time 
      • Green: new delivery date and time are earlier than booked delivery date and time
      • Orange: new delivery date and time are later than booked delivery date and time
  • Click Show map if you would like to checkout the map.

Flight/vessel schedule

  • It displays the flight or vessel schedule updates (e.g. arrival, departure)
  • If the schedule is updated by the provider after booked, Updated will be displayed.

The date and time here are according to the local time of the location.

Cost details

  • It displays the total costs of the shipment.
  • If there is any additional or discount costs added by the provider during the shipping process, it will be displayed here too.

Involved parties

  • Provider: Awarded logistic service provider or carrier of this shipment
  • Provider contact: Contact details of the awarded provider
  • Pickup contact: Pickup contact inserted during quote request submission
  • Delivery contact: Delivery contact inserted during quote request submission


Quick actions (Top right of the screen):

  • Submit proof of delivery: submit a Proof-Of-Delivery upon to mark the shipment as delivered.
  • Edit shipment: change the details of a shipment (Limited access).
  • Export: request, quotes or shipment to your preferred format
  • 3-dots
    • Disable notifications: turn off notifications for this shipment
    • Guest access: invite non-Cargobase users to view the shipment
    • Duplicate: copy the shipment details and create a new quote request on the spot.
    • Save as template: save the shipment details into a template for future request creation.
    • Cancel shipment: cancel the shipment when it is not required anymore (provider will be notified via email)

Guest members can view shipment details, contact details and updates. They cannot edit the shipment or view original quotes. In some case certain financial details can be disclosed via the comments section.
