Quote Requests - Viewing & Booking

General

Quote Requests are managed through the Requests page. This feature is only visible if your user role has the necessary View Quote Request permission.

To access Quote Requests, tap the Requests option in the main tab bar at the bottom of the screen.

Good to know

  • The Quote Request page displays only the most recent requests from the past 30 days.

  • You can find older Quote Request using the Search option via the bottom.

  • Can you view the Quote Request details, by tapping on the cards on the Requests page.

  • You can review the details of any quote submitted by your providers to this request.

  • You can Book a quote on a Quote Request, if your permissions allow.

  • You can Request approval to book a quote, if your permissions allow.

  • In case a quote is expired, you can request an extension for that quote.

  • You can post new comments on a Quote Request and review the entire history of previously posted comments.

  • You can bookmark the Quote Request, or remove an existing bookmark as well.

  • If you have access to both Quick and Quote request functionalities, an option to switch between Quick and Quote requests will be visible at the top of your screen.

Viewing Quote Request Details

To view the complete details of a Quote Request, locate and tap on the corresponding request card. All available details will then be displayed.

If the selected Quote Request has been converted from a Quick Request, a link will also be provided to navigate directly to the associated Quick Request, if your permissions allow.

You can copy any value from the Quote Request by simply tapping-and-holding on that value and a ‘Copy’ option will appear.

Viewing a Quote

If one or multiple Quotes have been submitted by your provider, they will appear in the Quotes section of the Quote Request details page. Tapping anywhere on a specific Quote will return further detail, such as a cost, schedules, weights or notes.

Booking a Quote

If your permissions allow, and the quote is still available for booking a green ‘Book’ button will appear. This means you can Book that quote. Be careful, once the quote is booked the provider will be notified instantly. To actually book, tap on the book button - you will see a brief summary for your confirmation and you will be able to select one of the 4 ‘Reason for booking’ options, as well as any other values that might be required.

In some cases, the app will explicitly ask for Customs Brokerage, Booking Surveys or other references. This will all be based on the configuration for your company but should all be the same as what you're used to in the main platform.

Requesting Quote Extension

When a provider submits a quote, it will almost always have an expiration date. Once that expiration date passes, the quote is deemed ‘expired’ - if that's the case, you can find a ‘Request extension’ option. If you select that option, the Provider will be notified and can either grant an extension or permanently close the quote. If the extension is granted, you can book the quote via the app.

Searching for a Quote Request

You can search for Quote Requests on the request page itself, by providing the S-number, Origin Or Destination Address or the Shipment Title. Be sure to check if you’re looking at the right status, if you’re not sure what status the request is in, be sure to set the filter to 'All',

You can also filter out Requests created by yourself, to do so; tap on the Filter icon on the Top right, next to the search bar and select ‘Show only my requests'. To remove that filter, take the same steps and select the toggle again.

If you’re not sure if your request is either a current request or already booked as a shipment you can instead use the ‘Universal search’ at hte bottom of the screen. Navigate to the Search by tapping on the Search icon in the bottom of your screen. Search results might include both Requests and Shipments, but once that happens. You can filter out the Requests by selecting the “Requests” tab.

Bookmarking a Quote Request

You can bookmark quote requests via the app, and they will appear on your bookmarked list on the web platform and vice versa. To view your bookmarks, navigate to the Dashboard and scroll to the ‘Bookmarked’ section. To add or remove a bookmark, you can navigate to the corresponding request or shipment and tap on the Bookmark icon on top of the screen. If a request is bookmarked, it will remain bookmarked even once it's booked as a shipment.

Posting Comments on a Quote Request

To post a comment on the Quote Request, locate the 'Comments' option in the upper right corner of the screen. If existing comments have already been posted, the number of comments will be indicated in the option's title (e.g., 'Comments (2)' signifies two existing comments).

When posting a comment on a quote request you can identify the ‘audience’ of the comment. For the audience there are 3 options

  1. Internal note - these are comments that are only visible to your organization and nobody else. These are highlighted in a yellow hue.

  1. Everyone - This means that all companies linked to this request, so all invited providers, will be able to read this comment. This is great for when you want to inform them about small changes or nuances. This option is only available to Shippers. If a provider responds to such a message, their answer will only be visible to the shipper, not to all other providers.

  1. Specific Provider - Shippers can choose to select specific providers they want to read the message, in that case any other invited providers will not be able to see that message.
