How to save a request or a shipment as a template?

Templates help users save time creating future requests by re-using and editing the details of past shipments. Here is the step-by-step guide to saving and using templates in Cargobase.

Save templates from past transactions

Templates may be created from existing or past transactions such as quick requests, quote requests, and shipments. Creating a template duplicates and saves all data points of a transaction and allow using them for the creation of new transactions.

Follow the steps below to create a template:

  1. Search for the request or shipment reference via the Universal Search or the Sidebar.
  2. Open the request page or the shipment tracking page.
  3. Go to quick actions (The 'three dots' icon) on the top right corner of the screen.
  4. Click Save as template.
  5. Add a title to identify the template.
  6. Click Save.

Create a title that helps sort and find templates easily e.g. AIR-DEFRA-USATL.

Use templates to create new requests

Whether they are created from an existing request or an existing shipment, templates are used to create new requests first, which are then converted into shipments when quotes are booked.

Follow the steps below to create a new request from a template:

  1. Click New request (The '+' button)
  2. On the top right corner of the screen, click the Load template icon.
  3. The Load template pop-up window will appear.
  4. Choose a template from the list.
  5. Update the pickup and delivery planning.
  6. Update the quoting deadline and confirmation dates.
  7. Click Confirm to create the request.
  8. Review the request details, invite providers, and click Submit to complete the request creation.

To remove a template, choose a template and click Delete template.

What's next?

Upon submission, all invited providers receive an email notification to let them know about the new request created.  The email contains a link redirecting to the Cargobase platform for the provider to view the details and submit quotes.
