How to Approve Quote via Email?

As an Approver, you can now easily approve or decline a quotation request directly through the email notification sent by Cargobase.

The email approval enhancement is aimed to:

  • Simplify approval communication, 
  • Shortens the approval process, and
  • Facilitates efficient logistics operations.

To enable the email approval feature for your company, please reach out to your Customer Success Manager. It is important to understand that once activated, the approval request will be distributed to all users within the same approval level.

How to enable the Approval via email notification on the user settings? 

To receive email notifications for the approval request, Approvers must enable it via the user settings. 

  • Login to Cargobase and go to 'Settings' > 'Notifications'
  • Go to 'Request Notifications' and select 'Custom settings'.
  • Scroll to the bottom of the section and look for 'Approval through email'.
  • Enable the notification by selecting either 'Personal only' or 'Team Notifications'.

What happens after the Approval through email notification is activated? 

The Approver will start to receive Quote Request approval emails with action buttons i.e Approve, Reject .

Details such as the requestor name, booking details and additional information will be provided in the email.

Only if the approval is completed via email, the next approval email will be sent to all approvers at the same approval level.

For instance, if there are 10 approvers in the second level, each of them will receive the approval email. Once any one of them approves the request, it will initiate the next step in the process, either moving it to the subsequent approval level or finalizing the booking if it is the last level of approval.

Quotation is approved by You...

Upon successfully approving the quotation, a confirmation message will pop up, displaying 'Quote approved'.

Quotation is approved by another Approver...

If you try to click the 'Approve' button for a shipment that has already been booked, a message will appear notifying you that the quote has already been approved.

Quotation is approved by you as the Final Approver...

If you hold the final approval level, a confirmation message will be displayed indicating that the quote has been both approved and successfully booked.

Quotation is rejected...

If the Approver chooses to reject the quotation, they will be prompted to log in to the Cargobase system to complete the process.

Upon rejecting the quotation, a message will be displayed confirming that the quote has been successfully rejected.

Quotation is canceled by Provider...

If you attempt to approve or reject a quotation that is canceled by the Provider, you will receive a notification indicating that the quote is no longer valid.

Quotation has expired...

If you try to approve or reject a quotation that has expired, a notification will inform you that the 'quote has expired'.

Quote Request is canceled...

If the requestor cancels the Quote Request, a notification window will appear, informing you that the 'Quote request has been canceled.'

Action is no longer available...

The action buttons included in the approval email remain valid for a period of 7 days. After this timeframe, the Approver will no longer be able to complete the approval via email. Instead, they will need to log in to Cargobase to manage the approval request directly.
